In the Client Search Wizard, user may search for a client using any of the following methods:
User may choose to search by Account Number or select another Account-level Search Type such as Payroll Id for those Wealth Management accounts with an employer record.
User may enter the Client Number directly, if he knows it.
User can click on the Client Number field to search on any of the Client External References in the available list in the drop down box.
or
User can use the Extended Client Search options. These enable a client search using any combination or partial combination of Surname, First name, Initials or Date of Birth. This section is augmented by the Bank Account type and number subject to system configuration (see Common > Static Data > System Variables).
Notes - When using the Extended Client Search options, user can also filter his search to include only Company clients, Individual clients or both. Selecting the 'Phonetic Search' check box also enables a phonetic comparison (e.g. searching for 'charlie' returns a client named 'charly').
The bank account type drop down is restricted to allowed types (see BANK code on Common > Static Data > Codes & Types). Wildcard searches are permitted for the account number. All bank account owner clients are searched.
When searching by Other Search Type, the user can also select the Account Designation in the drop down in conjunction with the Client Number or in conjunction with a combination of Extended Client Search options.
Where the search is for a known client name, the system returns the selected client and returns the client name for checking before finalizing the selection. Where a client has relationships with more than one policy, all are returned to enable selection of the right one.
The search stops when the count gets to a predetermined number (specified in Common > Static Data > System Variables), and a message prompts user to enter more details to narrow the search and thereby reduce the number returned.
Notes
Using the F3 key also activates a search for the criteria he has entered rather than using the Search button. However, user needs to have the focus on the Search Type field for the F3 functionality to work.
When searching by Client name, the system also searches the Alternative Name fields and return any clients with either name or alternative name details matching the search criteria.
Important Note - If user is doing a search on a Client External Reference and the External Reference is not unique, Sonata may not display all instances of the non-unique reference. It is possible, therefore, that user might not select the correct record in his search. For non-unique External References, user needs to use an alternative search method to ensure that the correct client is selected.
If the search is being run by a user who does not belong to the Secure Salary User Group, then the results returned by the wizard are limited to those Clients and/or Accounts which are not flagged as secure (i.e. to Clients who do not have the Secure Salary Flag selected, and to Policies and Accounts which do not have the Staff Account flag selected).
If the search is being run by a broker who is a user with security restrictions defined by their Access Location, then the results returned by the wizard are limited to those Clients and/or Accounts to which the Broker User has access.
When Multi Tenancy functionality is turned ON, search by Tenant is available within Client Search wizard which enables search for clients that are linked to a specific Master Scheme. Following are the Multi Tenancy search features related to Client Search wizard:
Default value in the Tenant drop down will be the last searched value by the user
Client Number search history list shows the history list of clients belonging to the selected Tenant.
Search button is not enabled unless other fields are changed like client's surname for the Tenant.
Search by ALL option for Master Scheme search type within Client Search is not dependent on any Tenant
Client Search by <All > option is restricted to the specified user group selected under system variables.
